3 This type of ticket is not meant as an extra participation fee per se. Although, the person accompanying you will have access to all the sessions you do, the price is meant to cover the costs for the beverages offered (i.e. coffee and/or tea) during the 5 days of Congress.
4 Please be aware that you can attend the Welcoming reception only with a full registration or a one-day ticket purchased for Sunday, July 9th. The one-day tickets purchased for July 10th, 11th, 12th and 13th do not offer access to the abovementioned session.

Cancellation Policy
Cancellation of registration must be notified in writing to the FEMS 2023 Congress Secretariat at fems2023@fems-microbiology.org. Cancellations postmarked before and on 29 May 2023 will be refunded deducting administration costs of 75 EUR. After 29 May 2023, registration fees and dinner tickets are non-refundable. If, for reasons beyond the control of the organizers, the congress is cancelled, the registration fee will be refunded after deduction of expenses incurred by the Congress.

For those requiring a visa, we can only refund your registration fees after the deadline, if you provide either of the following before 19 June 2023:

  1. Copy of the visa refusal letter
  2. Proof that you have tried to make an appointment before 28 May 2023 (6 weeks before the Congress)
     

For cancelling your dinner reservation, please contact us at fems2023@fems-microbiology.org no later than 2 weeks before the event. No administration fee will be deducted for cancellations communicated within the mentioned timeframe. Renouncing your ticket less than 2 weeks in advance is possible in case of emergencies or other unforeseen circumstances. These requests will be assessed by the Congress Secretariat on a case-by-case basis and will entail an administration fee of 25 EUR deducted from your refund.

Special dietary requirements
Please remember to indicate in the online registration if you have any special dietary requirements (vegetarian, allergies etc.). Please note that kosher food cannot be supplied. If you need kosher food, you should order your food directly in the Jewish community of Hamburg.

Invitation or VISA letter
According to the German government website, you can apply for visa earliest 3 months before you arrive in Germany, and it should not take more than 6 weeks to get the answer.

Participants can request an invitation letter through the online registration from the FEMS Congress Secretariat (fems2023@fems-microbiology.org). The invitation letter will only be issued upon completion of registration and receipt of the full pre-payment of the registration fee. This invitation letter does not involve any commitment by the FEMS Congress Secretariat to cover fees, accommodation, travel expenses or other costs associated with participation in the Congress.

If a participant’s application for visa is refused, the Congress Secretariat will refund the paid registration fees. Refunds will only be processed when the congress secretariat has received a copy of the refusal letter before 19 June 2023.
